Application form

To provide a high level of customer service in administering Concordia’s recruitment service to employers and participants. This includes checking that suitable applicants are recruited for placements within target timescales according to agreed and established processes. Also supporting the team in ensuring employers are providing suitable working conditions and living environments.

Job Content and Duties


  • To ensure all agreed and established processes are followed.
  • To send out bookings to agents according to the plan outlined by the Recruitment Relationship Coordinator.
  • To handle questions from agents and potential participants with regard to placements and recruitment, referring as appropriate.
  • To chase agents for placements and arrival dates to ensure unfilled bookings are completed.
  • To provide administrative support throughout the recruitment process, being a first point of contact for all telephone and email enquiries.
  • To support direct recruitment ensuring that job posts are placed on the Concordia website/with JCP as necessary, answering queries, giving information, following up references and keeping clear and accurate records.
  • To process applications from participants for placements making careful checks against agreed criteria. Where any do not meet the criteria, check with agents/applicants.
  • To maintain regular contact with all farms, by phone and/or by email as appropriate, in order to monitor their requirements and any changes such as dates or numbers and notifying them of progress of their requests.
  • To carry out Skype interviews for direct applicants/specialist positions or to assess participants’ English language levels.
  • To process requests for transfer by matching skills and availability of participants to employers’ needs. To supply sufficient and timely information on placements to participants.
  • To review and process farm requirements liaising with the farm as appropriate.
  • To liaise with farms regarding requests for returnees and to process applications and ensure these are returned in sufficient time. To advise farms where returnees do not return applications.

Working conditions and living environment

  • Monitor risk assessments chasing action points to keep them updated escalating to management or colleagues where appropriate.
  • To give basic advice on regulations concerning pay, health and safety, tax and National Insurance, referring more complex questions.
  • Ensure farm amenities for placements are accurate and up to date, liaising with farms in the process.
  • To support the administration of Concordia’s Barclaycard Wagecard.
  • Book travel and accommodation for members of the operations team.
  • To deal with initial enquires from potential new farms and send out information packs.
  • To work efficiently and patiently with participants and agents whose first language is not English.
  • To ensure all filing and database records are kept up to date and are accurate, especially following communication with participants, employers and agents.
  • Uploading reports, where appropriate, and ensuring specific requirements are added to notes on farms.
  • To monitor the supply of membership packs to agents implementing the process for distribution and reviewing as necessary.
  • To assist in the annual posting / e-mailing of the Concordia brochures, ensuring to chase certain customers to make sure that their requirements for labour are received in ample time, which enables a high level of customer service to be delivered to them.
  • To inform the appropriate account coordinator of any notable developments on their allocated Relationship Coordinator farms.
  • To deal with enquiries and complaints from employers or participants in a prompt and courteous manner, resolving them where possible or referring to Recruitment Relationship Coordinator.
  • To generate and update content for Concordia social media pages, as required.
  • Dealing with general post, e-mail (including group emails) and telephone enquiries as required.
  • To follow all organisational policies, including, but not limited to, Data Protection and Health and Safety.
  • Any other duties that may be reasonably required to support the general business of Concordia.

Methods of Assessment

You will be assessed against the criteria listed below, though an initial shortlisting of application forms. Shortlisted applicants will then take part in a manual entry and keyboard skills test, and finally, a face-to-face interview, which both will also be assessing how closely the candidate meets the person specification listed below. Education and Experience


A minimum of 5 GCSEs (including English and Maths) or equivalent.

Minimum of 1 years’ experience of working in an office environment, preferably in a customer service or administration role.

Proven experience of working with minimum supervision and using your own initiative.

The ability to work under pressure and meet/manage sometimes conflicting deadlines.


2 A levels, or equivalent.

A knowledge of farm or land based industries.

Recruitment experience.

Knowledge of basic employment or health and safety legislation.

Knowledge of data protection issues/ considerations.

Experience of, or interest in, working within the voluntary sector (paid or unpaid).

Experience of using social media in a professional capacity.

Skills and Abilities


Well-developed customer service skills, with a positive approach to customer contact and problem solving.

An ability to learn and understand complex issues related to the responsibilities of the post, e.g. employment legislation, health and safety and recruitment.

Excellent attention to detail and accuracy when inputting data / information in to a CRM, e-mails and Word documents.

An ability to communicate confidently, politely and effectively, both in writing and verbally, with a variety of individuals, both internal and external to the organisation.

An ability to work effectively as part of a team.

Awareness/experience of working with people from different cultural backgrounds.

Excellent keyboard skills – 40 words per minute or higher.

Excellent working knowledge of Microsoft office (e.g. Word, Excel, Outlook), and excellent IT skills – in particular using web-based software such as Skype.


Experience of using a CRM system.

Knowledge of a second language, such as Bulgarian, Romanian, Russian or Ukrainian.

Concordia is a charity that began in 1943. Set up during the Second World War, its original purpose was to recruit volunteer labour to work on farms, to assist with the war effort. Things have progressed considerably since then, with the organisation now operating volunteer programs across the world, as well as recruiting seasonal labour to work in the UK horticulture industry, with the mission to foster cross-cultural understanding between citizens of different nations.
